The University shall: 10. 2 If this response proves unsuccessful or if the individual is uncomfortable responding directly to the offender, he/she should lodge a written complaint/report to his/her manager or executive, or directly to the Human Resources (HR) Business Partner or Vice President (VP) and Chief Human Resources Officer (CHRO). The complaint of the incident must be made within six (6) years of the incident. Students 10. 2. 1 Where a student believes he/she has been subjected to sexual harassment, the complaint of the incident must be made within six 6 years of the incident. Where the incident is against another student, the complaint may be made to the Vice President & Registrar, or any College/Faculty Dean whom the students feels comfortable in making such disclosure to; a lecturer or any member of the academic staff who must advise the Vice President & the Registrar in writing of the complaint within 48 hours having received same. The report should contain the following information: 10. 1. 2 Where the manager is the offender; the report should be made to one of the other members of management mentioned in the foregoing paragraph and if the executive is the offender, the report should be made directly to the VP and CHRO. Any report against the VP and CHRO should be made to the President and a report against the President is to be made to the University Council through the Registrar. The report should contain the following information: i. date, approximate time and location of the incident; ii. nature of the incident; iii. name of the offender; iv. name(s) of any witness; v. any other information that the complainant considers relevant. vi. The complainant must sign the report 10 . 1. 3 Individuals who reasonably believe that they have been or are being sexually harassed, are encouraged to make a report without hesita- tion or fear, to provide the University with the opportunity to take appropriate action. Publ- icizing information about alleged harassme- nt , instead of reporting the matter to enable an investigation, will be deemed vexatious and could subject the accuser to disciplinary i. in the case where the sexual harassm- ent claim is made against an employee/ student, notify the employee/student in writing, whether by electronic means or otherwise, within two (2) days of receipt of the sexual harassment; ii. where the sexual harassment claim is made against a customer of the university or visitor take such action as he or she considers appropriate in the circumstances, to bring the matter to the attention of the University; iii. commence an investigation into the particulars of the sexual harassment claim, within fourteen (14) days of the sexual harassment claim being lodged and complete the investigation without delay.
